Custom AI agent for Gmail: sort the inbox, draft replies, and chase follow-ups

Mon AI can build a custom Gmail agent that triages mail, drafts in your voice, and nudges unfinished threads — while leaving the send button with your team when it matters.

Gmail

Most inboxes are not “too many emails.” They are too many kinds of work hiding in one list: a quote request, a supplier delay, a customer waiting on a refund, a thread nobody closed.

A custom AI agent from Mon AI can work inside Gmail the way a careful assistant would: label the mail, pull the matching customer or order, draft a reply in your tone, and remind someone when a thread has gone quiet.

What the agent can do with Gmail

Connected to Gmail and to the records behind the mail (CRM, helpdesk, orders, shared drives), the agent can:

  • Triage on arrival: sales, billing, support, suppliers, spam-looking-but-real — with labels your team already understands.
  • Draft a reply in your voice, using the last order, the last promise, and the facts in the thread. You send it, or the agent sends only the templates you approved.
  • Pull the customer record into the draft so staff are not flipping between Gmail and the CRM for a phone number.
  • Start or update a ticket from an email, then keep the Gmail thread and the ticket in sync.
  • Watch unanswered mail: if a quote sat for two days, the agent nudges the owner, not the whole office.
  • Write a daily digest of what actually needs a person — not every newsletter that escaped a filter.

The goal is a quieter inbox, not a robot that fires off mail you would not sign.

How the integration usually works

B --> E[Human send or review]
  1. The agent uses a Gmail mailbox you control — often a shared inbox such as hello@ or support@.
  2. New mail is classified against your rules: language, customer vs vendor, money involved, existing ticket ID in the subject.
  3. It writes a draft (default) or sends only for the narrow cases you allow — order confirmation, appointment reminder, “we got this, here is the ticket number.”
  4. Anything about refunds, legal wording, or angry customers stays in review.

Staff keep Gmail. The agent takes the sorting and the first draft.

A morning in a shared inbox

A studio or trading company running sales and after-sales through Gmail:

  • 7:12 — a customer writes in Vietnamese asking where the shipment is. The agent finds the order, drafts: “Hàng đã tới bưu cục Quận 7, dự kiến giao trong ngày. Mã vận đơn: …” and labels it Need send.
  • 7:14 — a supplier email changes a lead time. The agent updates the related job, drafts an internal forward to operations, and does not mail the customer until ops confirms.
  • 7:40 — the owner opens Gmail to a short list of drafts, not 40 unread mysteries.

That is usually enough to cut response time without pretending email can run on autopilot.

What should stay human

Email is easy to get wrong in public.

  • No silent sending on pricing, complaints, or contracts unless you explicitly allow it.
  • Keep an audit of what the agent drafted vs what a person changed.
  • Respect existing Gmail filters, signatures, and shared-inbox etiquette — the agent should not fight the way the team already works.

Why companies use Mon AI for Gmail

Gmail already has smart features. They do not know your SKUs, your Vietnamese/English mix, or which mailbox is allowed to speak for the brand.

Through Mon AI, Tripical VN LLC builds a Gmail agent as outsourcing: your labels, your tone, your send rules. If the work still arrives by email — and for many teams it does — the agent can make that inbox livable.
